Microsoft Exchange in a Hosted Environment – an Onsite Perspective

July 1, 2008

Most of Onsite’s business clients in New Orleans use the robust messaging, contact, calendar, and inter-collaboration features included in Microsoft Exchange and Outlook.  All of our Exchange clients own an in-house Exchange server – either included with Small Business Server or as a stand-alone server.  As many contend 70% of a company’s information is included in their email, having a reliable and safe messaging system is very important.

Owning and efficiently operating an Exchange server includes a special set of considerations to maintain data safety and security.  An Exchange server often requires an administrator with special training.  There are hardware and software costs.  Spam and virus considerations demand up-to-date defenses, not only for email systems but also for LAN security.  And backup for efficient disaster recovery can be expensive in hardware costs and time.

An Onsite client recently experienced an Exchange hardware failure that required three days to repair.  Although we had good backups and the data was safe, one of the client’s primary concerns was the cost to his business in lost productivity as his seven employees were lost without their mission-critical email.  When encountering a failure of such an important business asset, a common question is what can be cost-effectively done to avoid such failures in the future.

At Onsite we believe electronic messaging is mission critical; however it remains vulnerable to a plethora of contingencies and expensive consequences.  Microsoft Exchange Hosted Services is composed of four services that help businesses simplify their messaging: protect against email malware, satisfy retention requirements for compliance, encrypt data to preserve confidentiality, and preserve access to email during and after emergency situations.  The services are deployed over the Internet which helps minimize capital investment, free IT resources for other value-producing initiatives, and mitigate messaging risks before they reach the corporate firewall.

As a component of the Microsoft Exchange solution portfolio, Exchange hosted services provide a layer of protection features deployed across a global network of Internet data centers.  The services create a security-enhanced message stream to an from your on-premise messaging infrastructure.

With just a simple mail exchange (MX) record configuration change, Exchange hosted services can be up and running quickly.  There is no hardware to provision, no software to buy, install or configure, and no special expertise required to setup and operate your server.  Do you presently use Exchange and Outlook?  Call Onsite to discover how to reduce your costs of Exchange ownership and simplify your messaging system.
